Role and Responsibilities

  1. Greet and assist patients in a friendly, courteous and professional manner
  2. Register new patients with accurate patient and insurance information and update existing accounts as needed, utilizing special software and procedures.
  3. Collect payments and co-payments, keeping an accurate ledger of both, balancing ledgers and deposit daily
  4. Answer incoming phone calls and schedule appointments on GE IDX system
  5. Take concise, accurate phone messages, execute solutions and/or forward via electronic tasking as appropriate
  6. Fax and/or scan confidential patient information
  7. Communicate with physicians and nurses to create an efficient work environment
  8. Train other receptionists when necessary
  9. Using EHR software, accurately index and file scanned documents and information into patient’s electronic medical record
  10. Ability to maneuver online websites and software including login, accessing the daily schedule, search for patient, accessing patient profile, using the tool bar to update patient location, process phone calls, accessing unfinished calls, use a text template, view task list, work task list, create new task and other competencies as required by department
  11. Monitor patient EHR and invite to patient portal and scanned document filing tasks as determined in portal workflow
  12. Protect the confidentiality of patient’s personal, financial, and medical information
  13. Train in and learn process’ and reception procedures in all clinic departments, occasionally filling-in when necessary
  14. Meet and promote organizational standards for excellence in service to patients, physicians and co-workers
  15. Assist Director of Reception with overall operation of the department on a daily basis including:
  • train reception staff to provide highest quality service to patients and colleagues
  • tracking of employee time-off requests and maintain calendar of time-off requests
  • coordinate daily unscheduled absences with director to ensure adequate reception coverage
  1. Answer receptionist filing questions and maintain high standard of EHR scanned document accuracy
  2. Monitor and process patient portal and scanned document filing tasks as assigned and help maintain dashboard and system administration
  3. Help maintain the PM computer scheduling system, revise templates for physician-requested schedule changes and adjust physicians’ scheduling system as needed.
  4. Help maintain the electronic computer check-in, insurance verification and payment collection systems and become an expert in the system administration.
  5. Assist with recruiting, hiring, and training new employees. Assist in employee counseling sessions.
  6. Maintain Reception Department when director is gone by:
  • Making sure all reception areas have adequate coverage
  • Keeping the computer up to date with any necessary changes in physician schedules
  • Processing accurate time sheets to payroll
  1. Assist director in creating agenda for department meetings, presenting and occasionally leading departmental meetings, and creating minutes and attendance for the same.
  2. Other duties as assigned by the department manager, lead receptionist or physician

  11. Learn to use the clinic’s computerized appointment scheduling systems

  13. Demonstrate and maintain strong departmental team unity and clinic pride
  14. Employee performs routine, and some non-routine, continuous and repetitive work
  15. Strong computer skills and comfortable working in paperless environment
  16. Excellent verbal and written communication skills
  17. Good physical condition, able to stand, walk, sit, bend and lift 15-20 lbs
